Hourly Worker, Temporary - Administrative Assistant Position Type: Staff Position Number: Department: Student Health Center Job Summary/Basic Function: CLASSIFICATION SUMMARY : Perform responsible clerical, and administrative duties in a medical clinic setting. Typical duties include scheduling appointments, checking in patients, establishing and maintaining files and records, making referrals and answering the phone and scanning documents. ESSENTIAL FUNCTIONS : Schedules appointments, checks in patients, and answers phones for supervisors, practitioners, and counselors as directed. Obtains and verifies demographics and insurance during patient/client check in process. Organizes, establishes and maintains record keeping systems for a variety of information. Maintains confidentiality of protected health information at all times. Assembles, researches and summarizes information from various resources. Types/word processes, formats and proofreads materials such as forms, technical documents for assigned work unit. Corrects grammar, spelling and punctuation. Receives and screens phone calls and visitors. Provides accurate information regarding department policies and procedures to faculty, staff, students and general public. Develops and maintains a positive customer orientation. Prepares personnel and/or other administrative forms for work unit and forwards for processing. Initiates supply or work order requests. Operates office equipment such as computer, copier, fax machine, calculator, scanner, etc. Receives, sorts, distributes and/or screens incoming mail. Receives lab reports, pairs reports with orders and delivers them to practitioners for review. Scans reports and other forms into Electronic Medical Records (EMR ). Appropriately handles blood/laboratory specimens for pick-up. Minimum Qualifications: JOB REQUIREMENTS : High School diploma or equivalent. Must have 3-5 years recent working experience in a medical office setting Must have 1-3 years working knowledge of electronic medical record scheduling and charting Evidence of good judgement of situations that require immediate contact with medical professionals. Working knowledge of governmental privacy rules and regulations, HIPAA , FERPA SKILLS : Skill in the use of a personal computer and related software. Skill in both verbal and written communication. Skill in the operation and use of a variety of office machines and equipment. Skill in working with a diverse population. EXPERIENCE : One to two years of directly related secretarial/clerical experience. At least one year experience in a medical clinic setting. PHYSICAL / MENTAL REQUIREMENTS : Ability to lift and carry. Ability to stand for long periods of time. Ability to work cooperatively with fellow employees and supervisors. Ability to come to work in a timely and predictable manner. Ability to tolerate criticism. Ability to tolerate stressful situations. Ability to follow university policy and procedure.
